Group Umrah looks simple from the outside and is not. Someone at the mosque volunteers to organise it, and three weeks later they are holding a spreadsheet of passport numbers, chasing deposits over text message, and discovering that the airfare they saw in October no longer exists.

Our group service exists to take that entire load off the organiser. What Imam-Led and Scholar-Led Travel Changes

A group travelling with an imam or a visiting scholar is a different trip from a group travelling alone, and the itinerary should reflect that.

Ritual walk-throughs are the most practical difference. For first-timers, having someone explain Tawaf and Sa’i on site, in their own language, removes a layer of anxiety that no written guide fully solves. Teaching sessions in the evening, often in the hotel rather than at the Haram, give the group somewhere to put their questions.

The scheduling implication is that the day cannot be packed. We build in space around the teaching rather than stacking Ziyarat excursions against it. If your scholar has a fixed schedule, send it to us at quote stage and the itinerary is built around it.

Where a group does not have a scholar travelling, the pre-departure seminar carries more weight, which is why we run it in person rather than sending a PDF.

Keeping the Group Together Is a Booking Decision, Not Luck

The most common failure in group Umrah is the congregation ending up in three different hotels, one of them twenty minutes further out than the others.

That is not bad luck. It is what happens when a block is requested late. A group of twenty-five needs a genuine allocation held against dates, and in peak windows that allocation is committed months out. We hold it early, and if the group grows we extend the block rather than placing latecomers elsewhere.

The same logic applies to airfare. Bulk group locks exist while seats do; once a Ramadan or December departure fills, the group gets split across routings and arrives in pieces. Everything about group travel works better when the booking is early, and everything degrades when it is late.

Coach transport inside Saudi Arabia is dedicated to your group rather than shared. For a party of twenty-five moving between Makkah and Madinah with luggage, that is not a luxury, it is the only arrangement that functions.

Why the Organiser Should Never Hold the Money

Community organisers regularly ask whether they should collect deposits and forward one payment. The answer is no, and it is worth being blunt about why.

An individual holding thirty people’s deposits carries personal exposure for something that should sit with a registered operator. If a traveller withdraws, if a price changes, if a family needs to pay in stages, the organiser ends up mediating a financial dispute inside their own congregation.

How a Canadian Mosque Group Departure Is Built

It starts with a conversation, usually with one or two people from a committee. Numbers, rough dates, which airport, whether an imam is travelling, and how many first-timers are in the party.

From that we quote per person across the tiers, since groups are rarely uniform. Some pilgrims take a 4-star room and some want the Clock Tower complex, and a mixed-tier group is entirely workable as long as everyone shares the itinerary and the coach.

Once numbers firm up we lock airfare, hold the hotel block, and open individual visa files. The pre-departure seminar happens four to six weeks out, at your centre, covering rites, Ihram and the Miqat, arrival at Jeddah, health and vaccination requirements, and what to do if someone becomes separated at the Haram.

Then the group travels with dedicated ground transport, a held block, and a single point of contact for the duration.

Occupancy. Quad rooms carry the lowest per-person rate, which is why larger families inside a group often pay less than couples.

Airfare leverage. A locked bulk fare for twenty-five travellers prices differently from twenty-five individual bookings, particularly outside peak windows.

Tier. The published range runs $750 CAD for group economy land-only to $3,299 CAD for a Platinum Haram-front block.

Season. Ramadan and December carry the same premiums for groups as for individuals, and the inventory pressure is worse.

Are visas filed individually or as a group?

Individually. Every pilgrim gets their own Nusuk eVisa application through the Ministry of Hajj and Umrah portal, including permanent residents travelling on a PR card. Filing individually is how we avoid one incomplete file delaying an entire congregation.

Can families with children join a mosque group?

Yes, and most groups include them. Child pricing applies on most tiers, and we arrange rooming so families stay together within the group block. Pacing is set to work for multi-generation travel rather than for the fittest travellers in the party.

Who holds the deposits, the organiser or your company?

We do, per traveller. Each pilgrim's deposit is tracked individually and protected under Ontario's Travel Industry Act. The organiser should not be personally holding thirty people's money in a chequing account, and with us they never have to.

How far ahead should a group book?

As early as possible, and considerably earlier for Ramadan or the December school break. Group airfare locks and single-property hotel blocks are exactly the inventory that disappears first, and late group bookings end up split across hotels.

Can the group be split across different package tiers?

Yes. Mixed-tier groups are workable, where some pilgrims take a 4-star room and others upgrade to a Haram-front property. Everyone still travels together and shares the coach transport and the itinerary.
